Spartan Service Celebration
Come celebrate your colleagues as we honor them for their milestone years of service. The 49th Annual Spartan Service Celebration will be held Thursday, November 3 at 3:00 p.m. in the Student Union Ballroom. The university will recognize 116 staff members with 15, 20, 25, 30, 35, 40 and 45 years of service.
Our program will begin with President Papazian and members of her cabinet highlighting our honorees’ contribution to San José State. You will then have the opportunity to personally congratulate your fellow Spartans at the celebratory reception following the program.
Human Resources Survey
A survey is a performance review for an organization. Human Resources (HR) will be administering a customer satisfaction survey from November 7- November 21. We will be requesting feedback on accessibility of staff, timeliness of responses, professionalism of staff, accuracy of information, knowledge of staff, and overall satisfaction with services provided. This feedback will give us insight to identify areas for improvement and future priorities in order to provide SJSU employees with a more meaningful user experience.
We value the opinions of our faculty and staff. We believe it is important to understand the customer experience directly from each of you. Please provide candid feedback that can help guide us in our efforts to improve customer service. Be assured that your responses will be completely anonymous and confidential. Institutional Effectiveness and Analytics (IEA) will administer the survey and analyze the results. We plan to share the results of the survey in a timely manner, as well as how we plan to address your feedback.
Look for an email from IEA, with the survey, on November 7. Thank you in advance for your participation!
Updates from Workforce Planning
Four new or updated forms are now available on the Classification & Compensation Forms & Policies page:
- New Classification and Compensation Review Requests
In order to provide greater clarity in our classification and compensation processes, we now have a separate form for each type of review.
- New Position Description Questionnaire
The new Position Description Questionnaire (PDQ) allows a manager to provide information about a new position (or an existing position being restructured) without writing an actual Position Description (PD). Once we have the PDQ we will draft the PD for your review and signature. This will help us ensure consistency across the campus and alleviate some of your workload. This will typically not be used for a currently filled position. For those who prefer to write your own PD, please feel free to do so using the updated template.
- Updated Position Description Template
The Position Description has undergone many revisions over time. We have modified the template based on campus feedback and ask that you use the new template going forward. You do not need to update existing PDs.
Job Posting Timelines
In order to post a job for recruitment, Workforce Planning must be in receipt of a fully approved request to recruit, including the preferred qualifications (and minimum qualifications for MPP positions). In addition, the position description, approved by your Workforce Planning Analyst, must be signed by the hiring manager and the work lead/department chair (if applicable). We cannot post the job without the signed position description. Once we have the qualifications and the signed position description we will post the job to the SJSU and CSU websites within 48 hours. It may take an additional 2-5 days for your job to be posted on external sites.
Application Screening for Minimum Qualifications
Several years ago we gave hiring managers the option to screen their own applications for minimum qualifications. Given the high number of recruitments and to speed up processes, we will now rout all applications to the hiring managers so the minimum qualification screening may be completed more quickly. Your Workforce Planning Analyst will review the minimum qualifications in your initial recruitment meetings and will always be available as a resource. Workforce Planning will continue to review the recruitment at the end for overall compliance, but this change gives you more control over the process and should decrease the time it takes to complete a recruitment.
As always, the Workforce Planning staff is here to help and support you with all your workforce planning needs. Please don't hesitate to reach out to your Workforce Planning Analyst to discuss any questions or concerns.
