If you plan to use a class code for a particular chartfield string, you must submit your begin year budget using that same chartfield string. If you do not use the exact same chartfield combination, your expenditures will not align with your budget. This is also true if you use program or project codes; your begin year budget must be input into the same exact chartfield combination that your expenditures will appear. Otherwise, your budget and its related expenditures will be mismatched. Also, when you run subsequent queries, be sure they are designed to pick up class, program or project codes before doing your analysis.
If you decide during the fiscal year to use class to distinguish a portion of your expenditures in an account, please prepare a web budget journal to move a portion of your budget to the same chartfield string to cover the expenditure and any future anticipated expenditures as well. While it is not necessary to have a budget for every expenditure chartfield string, if you query a chartfield string by account code only, it may indicate a large budget balance available when in actuality a portion of it has been committed to expenditures in another chartfield string or the same one with a class code (or program or project code).
