1. How do I apply for graduation? 

  1. Download and complete the Undergraduate Graduation Application(pdf) and apply by the priority deadline dates.  You must apply at least two semesters before you anticipate completing all your degree requirements.  Follow the instructions on the application.
  2. Meet with your undergraduate major and/or minor advisor(s) and complete your major/minor forms. Keep a copy of all documents for your records. Attach your major/minor forms (in sealed envelopes) to the Undergraduate Graduation Application and submit to the Office of the Registrar.

2. When should I apply for graduation?

 You should apply for graduation two semesters in advance of the semester in which you wish to graduate.

3. When will I receive my Graduation Worksheet?

All graduation worksheets will be sent electronically to students via their preferred email address (as listed in MySJSU).The Graduation Worksheets are processed in date order from the time they are received in the office.  When yours will be done depends on the number of students who have applied before you.  If you apply by the priority deadline, the worksheet will be mailed to you one semester prior to your anticipated graduation date.

4. What if there are changes to my requirements after I have already submitted my graduation application?

If it is a change to your major or minor requirements, meet with your major or minor advisor. Do not submit a revised major or minor form unless you are changing your major or minor. Complete and submit a Substitution form(PDF) that can be found on the Registrar’s website.

5. I already submitted all my Graduation paperwork (Graduation application, major & minor form). I want to check to see if I am ready to graduate. What should I do?

Students who have already received their graduation worksheets after their files are being evaluated will not receive an updated one. Students can track their progress by using their worksheet as a checklist, marking off courses/requirements that have been fulfilled as they approach graduation.

Students who have submitted their graduation application but have not yet received their worksheets can view their unofficial transcript via MySJSU and compare it against their major/minor form(s) and their degree progress report to see what courses are outstanding.

6. Can I go through the Commencement Ceremony and finish my courses later?

The Commencement Ceremony is intended to celebrate those students who have officially graduated in the preceding Summer and Fall semesters and for students who anticipate graduating in the Spring semester of the current year. You may attend the ceremony if you fall in one of these groups. However, participating in the Commencement Ceremony is not the same as graduating from SJSU. You will officially graduate once ALL degree requirements have been met. If you have not completed ALL degree requirements by the end of your anticipated graduation term, you will need to change your graduation date.

7. When do I need to submit my graduation date change form?

If you will not be able to complete all your degree requirements by your anticipated graduation date, the graduation date change form should be submitted at least two months prior to your anticipated graduation date.  The date change form is located on the Registrar’s forms link titled “Graduation Date Change”.  There is a $10 processing fee which can be paid at the Bursar’s Office. The receipted date change form must be submitted to Window R.  You may also submit a written request with a check for $10, and be sure to indicate your SID and current mailing address on the request. 

8. How will I be notified if I have officially graduated? When will I received my diploma?

Undergraduate graduation candidate files will be reviewed after grades and academic standing have both been finalized for that term (Fall graduation candidates - mid January, Spring graduation candidates - mid June, and Summer graduation candidates, mid September). You can verify that your degree has been posted by viewing your unofficial transcript on your MySJSU page. Your diploma will be mailed on a rolling basis (approximately at least 4 weeks) after your degree has been posted to the diploma mailing address provided at the time you applied for graduation. Students who still have requirements or documentation outstanding will be notified electronically via their preferred email address. You can update both your email and diploma addresses via MySJSU at any time. 

9. How do I know if I qualify for University Honors (Latin Honors)?

In order to qualify for Latin Honors, your SJSU AND Overall GPA’s must meet the minimum GPA requirements.  The honors notation will be noted on the official transcript and diploma.

10.  Can I take courses after I graduate to improve my G.P.A?

No. After you have graduated, your undergraduate record is sealed.  No changes will be made on the undergraduate record.

11. My original Diploma got lost. How do I order a Duplicate Diploma?

You can order a duplicate diploma by downloading the Duplicate Diploma form(PDF) online. Please follow the instructions carefully.

12. How long does it take to receive a duplicate diploma?

Duplicate diploma orders are ordered bi-weekly it may take approximately eight (8) weeks to receive the diploma. There’s a $10 fee per duplicate diploma.

13. What are the requirements for the awarding of a Bachelor’s degree?

14. I want to make sure that my name will be listed correctly in the Commencement Book. How do I review it and make changes?

Your name will appear in the Commencement book exactly as it appears on your SJSU records. Steps below show you how to review and file for a change:

1) Log on to MySJSU.
2) Look at a copy of your unofficial SJSU transcript. Your name will appear exactly as listed at the top of your record. 
3) If your name is not listed correctly, you must complete a Change of Name form(PDF). NOTE: Name changes must be accompanied by photocopies of legal documentation pertaining to your name change such as court documents or marriage certificate and a photocopy of an original identification card with a recent photo to verify new name such as a driver's license, passport or immigration card.
4) Submit the Change of Name form at the window "R" at the Student Services Center(SSC).
