3.  What happens after I submit my graduation application?

Once your graduation application is received by the Office of the Registrar, your information is entered into our system.  Your application is reviewed in order of date received by the Office of the Registrar. A graduation worksheet will be generated and sent to your preferred email in approximately 3-4 months.  The graduation worksheet(PDF) is a checklist of outstanding requirements that must be completed prior to awarding of degree. 

4. How do I know my graduation application was received?

You can check your status on your academic requirements report

    • Applied – We have received your application and we are processing your worksheet
    • Pending – your graduation worksheet has been completed and emailed to you

5. What if there are changes to my requirements after I have already submitted my graduation application?

If it is a change to your major or minor requirements, meet with your major or minor advisor. Do not submit a revised major or minor form unless you are changing your major or minor. Complete and submit a Substitution form(PDF) that can be found on the Registrar's website.

6. I already submitted all my Graduation paperwork (Graduation application, major & minor form).I want to check to see if I am ready to graduate. What should I do? 

If you have already received your graduation worksheet you will not receive an updated one. You can track your progress by using the worksheet as a checklist, marking off courses/requirements that have been fulfilled as you approach graduation.

If you have submitted your graduation application but have not yet received a worksheet then we recommend that you:

    • Review your GE/SJSU requirements on your academic requirement report on MYSJSU. Log in to MySJSU: go to Student Center -> "Academics" section -> My Academics -> Academic Requirements -> View my Advisement report, you will see "GE Core Requirements" section.
    • Review your transfer credit on MYSJSU, if applicable. Log in to MySJSU: go to Main Menu -> Self-Service -> Transfer Credit -> view Transfer Credit report
    • Review your major form for major requirements;
    • Review your SJSU transcripts for units earned. See how to view my unofficial transcript on MySJSU?  ( Note: A maximum of 70 units from 2-year college(s) can be used towards the degree. This means you must earn a minimum of 50 units at SJSU. )

7. I have checked my transfer of credit on MySJSU and I do not see all the courses that I transferred from community college?

If you have applied for graduation, please take the following steps:

1. Review your transfer credit carefully on MySJSU. There are 2 ways to view this:

a) Log in to MySJSU: go to Main Menu -> Self-Service -> Transfer Credit -> view Transfer Credit report

b) Log in to MySJSU: go to Student Center -> "Academics" section -> select "transfer credit" from the drop down menu -> click ">>" icon

Note that not all courses transfer automatically. Please view SJSU Course-to-Course Articulation agreements page for reference.

2. Ensure that you have submitted official updated transcripts to SJSU

3. Contact your Graduation Evaluator. See Graduation Evaluators listed by Major(PDF).

If you have NOT applied for graduation:After submitting your official transcript from other institutions to SJSU, please send an email with your inquiry to the Evaluation Department at eval@sjsu.edu.

8. Can I go through the Commencement Ceremony and finish my courses later?

The Commencement Ceremony is intended to celebrate those students who have officially graduated in the preceding Summer and Fall semesters and for students who anticipate graduating in the Spring semester of the current year. You may attend the ceremony if you fall in one of these groups. However, participating in the Commencement Ceremony is not the same as graduating from SJSU. You will officially graduate once ALL degree requirements have been met. If you have not completed ALL degree requirements by the end of your anticipated graduation term, you will need to change your graduation date.

9. When do I need to submit my graduation date change form?

If you will not be able to complete all your degree requirements by your anticipated graduation date, the graduation date change form should be submitted at least two months prior to your anticipated graduation date. The date change form is located on the Registrar's forms link titled “Graduation Date Change”. There is a $10 processing fee which can be paid at the Bursar's Office. The receipted date change form must be submitted to Window R. You may also submit a written request with a check for $10, and be sure to indicate your SID and current mailing address on the request.

10. How will I be notified if I have officially graduated?

You will need to check your MySJSU under unofficial transcript. Once your degree has been posted, it will show that your degree requirements have been completed along with  Degree conferment date.

11. How do I know if I qualify for University Honors (Latin Honors)?

In order to qualify for Latin Honors, your SJSU AND Overall GPA's must meet the minimum GPA requirements. The honors notation will be noted on the official transcript and diploma.

To qualify BOTH the final SJSU and Overall GPA's must be:

    • 3.85 and above Summa Cum Laude
    • 3.70 and above Magna Cum Laude
    • 3.50 and above Cum Laude

12. Can I take courses after I graduate to improve my G.P.A?

No. After you have graduated, your undergraduate record is sealed. No changes will be made on the undergraduate record.

13. My original Diploma got lost. How do I order a Duplicate Diploma?

Duplicate diploma requests are ordered bi-weekly and may take approximately at least 4 weeks to receive the diploma.  There is a $10 fee per duplicate diploma.  Download the Duplicate Diploma Request(PDF) .

14. How long does it take to receive a duplicate diploma?

Undergraduate duplicate diploma orders are ordered bi-weekly it may take approximately at least 4 weeks to receive the diploma. There's a $10 fee per duplicate diploma.

15. What are the requirements for the awarding of a Bachelor's degree?

    • Earn a minimum of 120 semester units - Some degrees require more than the 120 units. Link to catalog.
    • Earn a minimum of 30 semester units in residence - You must earn a minimum of 30 units at SJSU, including 24 upper division and 12 in your major. A maximum of 24 units of Open University may be applied toward your degree.
    • Earn a minimum of 40 upper division units - You must earn a minimum of 40 units in courses numbered 100 and above.
    • Physical Education Requirement - All students must complete two (2) units of physical activity courses from two different Kinesiology/Dance courses. To challenge the requirement, students must consult the Department of Kinesiology at least one semester prior to graduation. Only one intercollegiate Athletics course may be used to fulfill one unit of the physical education graduation requirement.
    • Complete your General Education Requirements - See your Academic Advising Report on MySJSU.
    • Satisfy your Major/Minor Requirements
    • Maintain a minimum 2.00 GPA - A minimum of 2.00 GPA is required in your SJSU, Overall, Major and Minor coursework.

16.  I want to make sure that my name will be listed correctly in the Commencement Book. How do I review it and make changes?

Your name will appear in the Commencement book exactly as it appears on your SJSU records. Steps below show you how to review and file for a change:

    1. Log on to MySJSU.
    2. Look at a copy of your unofficial SJSU transcript. Your name will appear exactly as listed at the top of your record. 
    3. If your name is not listed correctly, you must complete a Name Change  request(PDF). NOTE: Name changes must be accompanied by photocopies of legal documentation pertaining to your name change such as court documents or marriage certificate and a photocopy of an original identification card with a recent photo to verify new name such as a driver's license, passport or immigration card.
    4. Submit the Change of Name form at the window "R" at the Student Services Center(SSC).

17.  I want to edit my name on my diploma but can't seem to do so on MySJSU. Can you assist me on the process please?

Students are not able to edit their diploma name on MySJSU. Your name will appear on your diploma exactly as it appears on your transcript. If you would like to edit either your diploma name or your official name on your record, you must complete a Name Change request(PDF) with our office.

18.  I recently moved, how do I change my diploma address? I want to make sure it will be mailed to my new address.
