Program Planning Coordinator Responsibilities
The following is a list of your responsibilities as department program planning coordinator. Detailed information on each step can be found in the university’s program planning guidelines (also available on the Office of Undergraduate Studies web page).
Step 1: Determine the Program Planning Schedule
- Fill out program planning schedule form
- Get it signed by
- Department Chair
- Dean
- Program Planning Committee Liaison
- Send to Office of Undergraduate Studies
Step 2A: If you have a program with more than 120 units
Obtain approval to continue with more than 120 units: see Senate Policy S01-5
Step 2B: Conduct Self-study
- Gather documents
- Complete self-study
- Write self-study
- Submit self-study to Office of Undergraduate Studies
Step 3: Identify and Obtain Approval for External Reviewer
- Identify list of names of potential external reviewers
- Submit list to Dean
- Ensure Dean rank orders external reviewer(s) and submits names to AVP Undergraduate Studies (AVP will work with the dean to select the reviewer(s))
Step 4: Schedule External Reviewer Visit (Usually 1.5-2 Days)

Step 5: Host External Reviewer Visit
- Confirm scheduling of rooms, people, food, and other logistics
- Ensure reviewer gets to meeting locations and keeps to schedule
Step 6: Review External Reviewer Report and Send to College Committee
- Review report
- Write response (optional)
- Send report and response to college review committee
- Ensure college committee writes response to the report and sends it to the dean
Step 7: Ensure Dean Submits Response to Program Planning Committee
Follow-up with dean to ensure that dean’s response is sent to the Office of Undergraduate Studies, which will forward it to the program planning committee
