How do I...?


How do I... Enter a Request to Recruit?

  1. Log into SJSU @ Work
  2. Navigate to SJSU Human Resources > Recruiting > Request to Recruit
  3. Click Add a New Value
  4. Enter the DeptID of the department in which the position resides
  5. Let the Effective Date default to the current date
  6. Select one:
    1. Replace Existing Position/Employee with NO Changes to Duties
    2. Replace Existing Position with Changes to Duties
    3. Request a New Position
  7. Complete all fields on all tabs
  8. Attach a Position Description and submit for approval

 

How do I... Hire a student?

How do I... Do an emergency hire for staff or management?

  1. Review the Emergency Hire Guidelines (.pdf)
  2. Complete the Temporary Support Request (.pdf) and submit to classcomp@sjsu.edu
    1. Please note, an application and resume for the employee must be submitted as well
  3. The request will be reviewed and the approval to extend a conditional offer will be issued
  4. Once the verbal offer is accepted, the conditional offer letter will be issued and a background check will be initiated
  5. Once the background check clears the final offer letter will be sent

 

How do I... Recruit and hire a staff member (regular or temporary)?

  1. Submit a Request to Recruit
    1. Log into SJSU @ Work
    2. Navigate to SJSU Human Resources > Recruiting > Request to Recruit
    3. Click Add a New Value
    4. Enter the DeptID of the department in which the position resides
    5. Let the Effective Date default to the current date
    6. Select one:
      1. Replace Existing Position/Employee with NO Changes to Duties
      2. Replace Existing Position with Changes to Duties
      3. Request a New Position
    7. Complete all fields on all tabs
    8. Attach a Position Description and submit for approval
  2. Once the request has been routed and approved, the position description will be reviewed for classification
  3. The finalized position description will be sent for signature by the Appropriate Administrator
  4. Once the position description is signed, the position will be posted for recruitment
  5. On the first screening date your Recruiter will forward applications to the hiring manager for screening
    1. If your position is CSUEU, only applications of current CSUEU employees will be forwarded
    2. Review the applications for minimum qualifications; you are required to interview all employees who meet the minimum qualifications
    3. Return the Application and Interview Evaluation spreadsheets whether or not you plan to hire from the pool
    4. If you do not select a candidate from the current CSUEU employees, additional applications will be routed
  6. Submit the Application and Interview Evaluation spreadsheets identifying your final candidate via [will have a new method for this soon]
  7. Your Recruiter will review the packet and let you know when you are approved to extend a conditional offer
  8. Once the verbal conditional offer is accepted, your Recruiter will issue a conditional offer letter and initiate the background check
  9. Once the background check clears, your Recruiter will discuss start date and issue the final offer letter

Faculty:

  1. Complete the Special Consultant Pre-Approval Form(.pdf), following all approval processes outlined in the instructions
  2. Once the work has been completed, forward the Special Consultant Payment(.pdf) form to University Personnel-Faculty Affairs for processing

Staff:

  1. Complete the Temporary Support Request (.pdf) and submit to classcomp@sjsu.edu
    1. Please note, an application and resume for the employee must be submitted as well
  2. The request will be reviewed and the approval to extend a conditional offer will be issued
  3. Once the verbal offer is accepted, the conditional offer letter will be issued and a background check will be initiated

  5. Once the work has been completed, the department forwards the Special Consultant Payment(.pdf) form to Employee Support Services for processing

  1. See Your UP Representatives to contact your Employee Support Services Representative to check the status.

 

How do I... Get access to enter Requests to Recruit in PeopleSoft?

  1. Complete the System Access Request Form(.pdf) and submit to the CMS Security Team
  2. Email University Personnel to request training

 

How do I... Get access to enter Temporary Faculty Contracts in PeopleSoft?

  1. Complete the System Access Request Form(.pdf) and submit to the CMS Security Team
  2. Open a Help Ticket with IT to request training

 

How do I... Know if my job has been posted?

Faculty:

  1. On the UP Website, navigate to Faculty Job Opportunities or Athletics Job Opportunities (for Unit 3 coaching positions)

Staff and Management:

  1. Log into SJSU @ Work
  2. Navigate to Self Service > Recruiting Activities > Careers
  3. The most current jobs are posted at the top; you can also sort by any of the columns

How do I... Submit a Staff or MPP Selection Packet?

  1. Complete the Submission of Selection Packet for Staff and Management Recruitments form via Google
  2. Attach the application and interview evaluation spreadsheets, as well as the background/reference check release form
