We’re several weeks into the fall semester and I’ve enjoyed seeing the familiar faces of faculty and staff as I travel around campus each day. I’ve been settling into my new role as the Senior AVP for University Personnel and have enjoyed meeting with many of you to hear how we can best support you, our employees.

We continue to work on merging the various functions of Faculty Affairs and Human Resources. I appreciate your feedback as we work on processes and logistics to ensure we’re providing you with the best possible customer service.

I’m happy to report that we have recently filled a few key positions and are on our way to filling several more to complete our staff. Paul Garrison recently joined us from the Chancellor’s Office as our new Senior Director for Academic Employee Relations, my former position. His CSU experience, as well as his knowledge of faculty, will be a great asset to the campus. Alfredo Coria is our new Investigator and is already settling in to this new role. Finally, Kathleen Sao moved from the EARC to UP and is our new Leave Programs Manager.

I look forward to working with many of you as the year progresses and encourage you to reach out with any questions or concerns. My door is always open and my team is here to help. Have a great fall semester!

A: The HR User Group is now UP Information & Announcements. Join the Google group to receive announcements about training, events, etc.

A: University Personnel is in the Organizational Development division, under the direction of Vice President, Jaye Bailey.

A: We still have two locations and most of our staff and functions remain in the same places they have always been.

University Personnel North - Zip 0021:
The Faculty Affairs unit of University Personnel still resides on the 2nd Floor of the Administration Building, Room 218 and the following functions remain there:

  • HR Information Systems (SJSU @ Work, Reporting, Website)
  • Leaves (other than Sabbatical and DIP)

Fee Waiver Coordination Centralized
The coordination of the staff and faculty fee waiver programs is now handled by one person instead of two separate individuals. 

  • Tracy Vuong, former Employment and Overload Analyst, is now the Fee Waiver Coordinator. She is located in UP South and can be reached at

Leave Management Centralized
With the exception of Sabbatical and Difference in Pay (DIP) Leaves, all leaves are now handled in one location and by one team of individuals. Anita Vasquez, Director of Benefits and Payroll, oversees the Leave Management team.

  • Kathleen Sao, Leave Programs Manager, manages leave processing for all employees and should be the first point of contact for leaves. She resides in UP South and can be reached at 924-2274 or
  • Molly Marquez, Faculty Affairs Analyst, has moved to UP South and can be reached at 924-5444 or She coordinates the processes for:
    • Faculty Early Retirement Program (FERP)
    • Pre-Retirement Reduction in Time Base (PRTB)
    • Faculty Leave of Absence

Benefits Open Enrollment Happening NOW!

The Annual Open Enrollment period for Benefits is now open and runs through Friday, October 5. All changes must be made by 11:59pm on October 5. Changes in Benefits will be effective January 1, 2019.

See Open Enrollment for 2019 rates, plan changes, and other important information. Click Benefits Open Enrollment to sign in and review/update your benefits. Remember, you must re-enroll in any Flex Spending accounts in order to keep them active for 2019.

The 51st Annual Spartan Service Celebration, honoring the service of more than 100 staff members, will be held Thursday, March 7, 2019 in the Student Union Ballroom from 3:00pm-5:00pm. This is a rescheduled date from the original date in November. Please mark your calendars and plan to join us to celebrate your fellow Spartans!


The end of the year will be here before we know it and now is a great time to review and update your personal information online. The new Spartan Applications Portal, one.SJSU, makes it easy to review and update your information. Sign in and find the Change My Address and other contact info tile, as well as the Update My Emergency Contacts tile. Clicking these tiles will take you directly to these MySJSU pages but you can also navigate to Campus Personal Information from the main page.




Q: What is the new minimum wage for 2019?

A: The new minimum wage for the City of San Jose will be $15.00/hour. The State of California, and therefore the CSU, increased the minimum wage for employees to $11.00/hour but SJSU is currently following the City of San Jose’s rate. As a state agency, we are not required to follow the City, but have elected to do so in recent years.

Q: When will the new minimum wage be effective?

A: January 1, 2019

Q: Do I have to do anything to update the minimum wage for myself or my employees?

A: No. University Personnel staff will make the updates to the PeopleSoft and payroll records for all affected employees.

Q: Does the San Jose minimum wage not apply to certain individuals?

A: All SJSU employees paid by the State of California are subject to the new minimum wage.

Flu Shot

Kaiser Permanente will be on campus to conduct our free flu shot clinic for faculty and staff on Wednesday, October 17th and Thursday, October 18th. You don't need to be a Kaiser member to participate. Every flu season is different, and influenza infection can affect people differently, but millions of people get the flu every year, hundreds of thousands of people are hospitalized.

Visit Kaiser’s Online Flu Shot Scheduler to create an account and make an appointment. If you received a flu shot with us last year you should already have an account. If this is your first time, enter sign up code SJSU if prompted or search by zip code 95192. The clinic will be held in Clark 547.

Please note, the online scheduler will close at 4:00 pm on Friday, October 12th; once closed you will not be able to make or change your appointment.
