Welcome back, fellow Spartans!

Fall is in full swing and I’m excited to see so many new faces. We welcomed nearly 60 new tenure track faculty this semester, as well as dozens of new lecturers. In addition, 65 new staff members joined us over the summer including Provost and Senior Vice President for Academic Affairs, Dr. Vincent Del Casino; Vice President for Research and Innovation, Mohamed Abousalem; and Chief of Police, Gina Di Napoli. Our student population has grown to almost 36,000 and the campus is buzzing. It’s a great time to be a Spartan! I look forward to meeting many of you as we settle into the 2019-20 academic year.

UP Staffing Updates

The following UP employees joined the team or changed roles:

The Employee Benefits and Services Fair will be held Tuesday, September 24 from 10:00 a.m. - 2:00 p.m. in the Student Union Ballroom. Benefits providers will be in attendance, as will CalPERS and your SJSU Benefits Representatives. In addition, numerous other vendors will be available to talk about discounts and options for SJSU employees.

Benefits Open Enrollment begins Monday, September 9, 2019, and ends at 11:59 p.m. on Friday, October 4, 2019. All changes made during Open Enrollment are effective January 1, 2020. Once the Open Enrollment period opens, changes can be made easily by searching for and clicking the Open Enrollment tile in one.SJSU.

Reminder: If you do not make changes by the deadline, all current selections will remain in place for 2020. The only exception is flexible spending accounts. To continue those contributions you must re-enroll during this period. The Fair is a great time to talk with providers and your Benefits Representative about possible changes to your enrollment.

Make sure to bring your Tower ID Card for entry into the event and the chance to win a prize.

Faculty and Staff Recognition Event Dates Set

The Spartan Service Celebration (staff recognition) will be held Thursday, March 5. Faculty Appreciation Day will be held Thursday, April 9. More details to come on both events in the coming months.

Flu Shots Coming Soon!

Flu season will be here before we know it. Every flu season is different, and influenza infection can affect people differently. Millions of people get the flu every year, and hundreds of thousands are hospitalized, which is why you want to ensure those around you are protected.

We have once again partnered with Kaiser Permanente to provide free flu shots to our employees. Once registration is available we will email the UP Info & Announcements Google Group with details, but mark your calendars for October 23 and 24 so you don’t miss out on this great benefit. Your medical insurance does not have to be through Kaiser to participate.

LinkedIn Learning

LinkedIn Learning is available for all employees and contains hundreds of training videos on a variety of topics. Connect your existing LinkedIn account to the Learning tool to maximize its value. If you don’t have a LinkedIn account you can still use the Learning tool.

We are in the process of building training programs for managers and will be exploring similar programs for staff. However, you are free to take any available course in the system for your own personal development.

Spotlight on…
Faculty Affairs

Faculty Affairs resides on the second floor of the Administration Building, Room 218. Primary functions include the management of Faculty Recruiting, Faculty Additional Employment, Faculty Leaves, Evaluation of Teaching, and Retention, Tenure and Promotion (RTP). In addition, the Academic Employee Relations manager, who resides in Employee Relations, collaborates with the team when necessary and assists the Senior Associate Vice President in managing all aspects of the R03 and R11 contracts.

James Lee - Senior Director, Faculty Affairs
James joined the SJSU Faculty in 2005 for two reasons: “Migrate to a better community and serve an institution with disadvantaged students to pay it forward.” He made the move into UP - and campus administration - in May of this year. Did you know? James had only one job outside of academia since graduating high school. “I was a community service monitor for 2 months one summer.” James says that Doritos in any flavor are his guilty pleasure.

Stacey Elsibai - Interim Manager, Academic Employee Relations
Stacey has been at SJSU for a little over four years and stepped into this interim role over the summer. She joined the university after she and her husband moved back to the Bay Area. She “wanted to continue working in higher education and the world of employee and labor relations.” Did you know? Stacey once traveled to Thailand on her own and did a little hitchhiking. She also loves sushi.

Rosario Gaspar - Faculty Affairs Analyst
Rosario started her SJSU career as a student in the Office of Equal Opportunity, which was housed in Tower Hall but still part of Human Resources; "20 years later, I am still here in a new role." Did you know? Rosario has had the opportunity to work in almost every area of HR/UP. Her favorite food is "shrimp, especially in 'coctel de camaron'  with extra avocado of course!"

Jamie Mettry - Interim Tenured and Probationary Faculty Analyst
Jamie has been at SJSU a little more than three years and has been serving in this capacity for nearly a year. She moved back to the Bay Area from Houston to join SJSU and enjoys her position because “I was interested in learning about the RTP process.” Did you know? Jamie has been to 15 countries in the past two years and most of them were solo trips. Her favorite food is a cajun dish she learned to make while living in Houston called Etouffee'.

Remie Bontrager - Interim Coordinator, Faculty Leave and Recruitment
Remie has been on campus for about three years and has been serving in this dual capacity since January. She came to SJSU because she “wanted to work for an organization that was making a global difference.” She’s also an alumna! Did you know? Remie loves watching or listening to Giants baseball and her favorite food is eggs.

Zeffie Bruce - Academic Employee Relations Analyst
Zeffie has been on campus a little more than two years and made a career change when she joined the University Personnel team in June. She’s also an SJSU alumna. Did you know? Zeffie loves participating in winter snow activities and her favorite food is ice cream.

Did you know SJSU offers a program for students called SJSU Cares? If you know a student who has had a recent crisis which has left them food insecure, couch-surfing, or facing unexpected bills, SJSU Cares may be able to help identify and connect them to resources. SJSU Cares can meet one on one with students who are experiencing an unforeseen economic crisis to determine which resources/support can be offered. SJSU offers a number of resources and services on campus to help students deal with situations and issues outside of the classroom that may detract from their academic success.

Voluntary Retirement Plans

Savings Plus:
Savings Plus is a voluntary retirement program that allows you to supplement your retirement benefits through tax-deferred and Roth after-tax payroll contributions. Savings Plus offers a 401(k) Plan and a 457(b) Plan. You must be an employee or officer on the State of California payroll who is eligible to participate in the California Public Employees’ Retirement System (CalPERS). Retiring from CalPERS

The California Public Employees’ Retirement System (CalPERS) is the State of California retirement system in which the California State University (CSU) participates. This means you retire from CalPERS NOT SJSU. CalPERS is a defined-benefit retirement plan and is coordinated with Social Security. Eligible employees are automatically enrolled when appointed. New DocuSign Process for New Employee Forms

New employees can now complete their new hire forms online via DocuSign. The new employee forms are available on our website under Forms & Policies - New Employees. When you hire a new faculty or new student (academic or non-academic) employee, please refer them to the New Employee Forms link. These forms should be completed prior to the employee coming to University Personnel (3rd floor of UPD building) to complete their Form I-9.

As a reminder, all new hires must complete and sign Section 1 of Form I-9 no later than their first day of employment. When new hires come in, they will also have the opportunity to sign up for direct deposit.

This DocuSign process gives new employees the flexibility to complete their new hire forms anywhere while also giving them ample time to review policies. In addition, we are hoping this new process will decrease wait times in UP, especially during peak periods, so we can attend to our customers faster.
