Welcome Back!

It feels a bit odd saying welcome back when most of us are still working away from campus, but I do want to welcome our faculty and students back for the fall semester. Thank you to all who have been working remotely for six months now, and especially those who are still coming to campus each day to ensure our campus is maintained. There will be a time in the future when we are together again but I applaud everyone for adapting to this new environment.

As you are likely aware, President Papazian recently announced the SJSU Adapt plan, which features a four-phase approach for the continuation of campus operations. These phases align with Santa Clara County Public Health Department and state public health guidelines, and have received approval from the California State University Office of the Chancellor. Information in the plan is subject to change.

I encourage you to take time to read this important information and, if you were unable to attend one of the President’s Town Halls, the videos are available to view on the SJSU Adapt Plan webpage.

Jennifer Redd and Deanna Fassett are Stepping Beyond...

The dynamic duo of Jennifer Redd and Deanna Fassett, almost overnight, designed and implemented a professional development program for faculty and staff to help them convert their classes online and work from home. They recruited experts on campus to share best practices, created websites with oodles of valuable information, and provided calm and capable leadership to help those who were stressed and worried. So many Spartans have told me how much they appreciate all of the support they received from eCampus and the Center for Faculty Development. Thank you for stepping beyond to help SJSU respond to COVID-19.

Spartans Stepping Beyond is our online recognition system and a great way to honor a fellow Spartan. Thank a colleague for helping or recognize someone for going above and beyond.

Virtual Benefits and Employee Services Fairs

Health Benefits Fair

Tuesday, September 29th
from 10:00am-1:00pm

This virtual event, hosted by the CSU Chancellor's Office, will showcase CSU Health Benefits Vendors. UP Benefits Services Representatives will also be available for consultation and to answer questions. You MUST register to attend so click here to register today!


Employee Services Fair

Wednesday & Thursday, October 21-22nd from 10:00am-1:00pm

This virtual event is hosted by University Personnel and will showcase non-health vendors such as credit unions, gyms, dental offices, and more. In addition, SJSU departments and organizations have been invited to participate. Benefits Open Enrollment

Open Enrollment will be held September 21, 2020 through October 16, 2020. All Open Enrollment transactions are effective January 1, 2021. To make changes starting September 21, go to Open Enrollment.

A Virtual Benefits Fair, hosted by the Chancellor’s Office, will be held September 29, 2020 from 10:00 a.m. - 1:00 p.m. When you register to attend the Virtual Benefits Fair, you will also gain access to a virtual portal for Open Enrollment. Click here to register today!

If you are not making any changes or updates to your medical, dental or vision coverage, there is nothing you need to do! However, if you are enrolled in a Flexible Spending Account (Health or Dependent Care Reimbursement), you MUST re-enroll to keep the benefit for 2021.

More information about Open Enrollment can be found on the UP Website, as well as the California Public Employees Retirement System (CalPERS) website. In addition, you should have received information from your provider and from CalPERS.

The Importance of Well-being

University Personnel cares about your well-being and continues to provide information to help you manage the current health crisis, as well as general information to help you find a balance between work and life.

Our MyWell-being webpages offer information on mental health, community involvement, fitness, nutrition, housing, and more. Issues of the Well-being Wednesday newsletter can also be found in this section, as well as other news and announcements related to Health and Well-being initiatives.

Good News SJSU is one of the initiatives we rolled out earlier this year, celebrating the Good News of our employees. We encourage you to submit your Good News to be featured in a future newsletter, and eventually on the website.


Cal Employee Connect

See your W-2s and pay statements online!

The State of California Controller’s Office rolled out Cal Employee Connect earlier this year. Register online to view your Form W-2 and pay statements. Please note, you will need a pay statement for reference. 

  1. Visit Cal Employee Connect (there is also a tile on one.SJSU)
  2. Click Register
  3. Click Continue on the next page
  4. Accept the User Agreement
  5. Select “CSU, San Jose” from the drop down menu for Department
  6. Enter “260” for Agency Code

If you do not have your statement number or total deduction information, or if you need help registering, please contact your Payroll Representative.

Employee Reimbursement Direct Deposit Program

Payment Services encourages SJSU employees to enroll in the Employee Reimbursement Direct Deposit program. This program is a great way for employees to get their out-of-pocket business and travel reimbursement electronically deposited to their bank account. Benefits to signing up for direct deposit:

  • You're saving a tree; direct deposit is paperless!
  • Payment is faster, reliable and safer than the old check and mail process.
  • Removes the opportunity for your checks to be lost or stolen in the mail.

Please allow 7-10 business days for processing.

I already receive my monthly paycheck through Direct Deposit; is this different?

Yes. Employee Reimbursement Direct Deposit is separate from University Personnel's Direct Deposit for your paycheck. If Payment Services doesn’t have your direct deposit information, you will continue to receive reimbursement checks through the mail.

How do I know if I’m signed up for Employee Reimbursement Direct Deposit?

If you currently receive reimbursements by paper check in the mail, then you have not signed up for Employee Reimbursement Direct Deposit. If you’re still uncertain, please contact Payment Services.

CHRS Recruiting is SJSU's new system for managing faculty and staff recruitments. CHRS stands for Common Human Resources System and the recruiting software, rolled out in July, is PageUp. 

The CHRS Recruiting team is here to help you use the new system with information on our website, dedicated support staff, and regularly-scheduled Open Zoom Labs. For those still needing to learn how to use the new system, training classes are currently scheduled through December 2020.
