Welcome Back!
I’m always excited to welcome our faculty and students back to campus each fall, but this year I’m excited to welcome so many of our staff back as well. It’s been many months since the campus has been this alive and it’s great to see!
For the first time this year we held a welcome back week for our faculty and staff, and it was wonderful to see so many of you stopping by our table and participating in various activities around campus. I especially enjoyed meeting some of our new faculty and staff who joined our community during the last 16 months.
You have likely seen many emails from me in these last few weeks and months regarding vaccination status and testing. Policy requires all employees, auxiliary employees, volunteers, unpaid visiting scholars and others in unpaid appointments to be fully vaccinated by September 30, 2021, in order to access University facilities and programs. More information, including the recently finalized CSUEU MOU regarding the vaccination policy, can be found on the
COVID-19 Vaccination webpage.
To report that you are fully vaccinated or to request a medical or religious exemption, open the
COVID-19 Self-Certification page in SJSU @ Work and submit your information.

The holiday season and the end of 2021 will be here before we know it! I want to remind you how important it is to take your vacation time. Excess vacation time at the end of the year may be forfeited if not used. Please refer to the
Vacation webpage to view a summary of maximum vacation and CTO credits.
Check your balance in SJSU @ Work then obtain your appropriate administrator's approval to take a few days off.
It's important to have time away from work to relax and recharge and to spend time with friends or family, and most importantly, time away from Zoom!

Important Benefits Open Enrollment Information
The Annual Benefits Open Enrollment will take place September 20, 2021 - October 15, 2021. All changes must be submitted by 11:59 p.m. Friday, October 15, 2021. Changes made during Open Enrollment will take effect January 1, 2022. Visit the

Preferred Provider Organization (PPO)
CalPERS three PPO plans, PERSCare, PERS Choice, and PERS Select, will transition to two plans, PERS Platinum and PERS Gold. The change is the result of a year-long analysis to stabilize the Basic plan portfolio, including engagement with members, employers, and stakeholders. The two PPO plans will offer more distinction in benefit design, networks, and premium pricing.

University Personnel is offering two unique virtual fairs for our faculty and staff employees this fall. Please mark your calendars and join us for these two important events.
Health Benefits Fair - Tuesday, September 28 (10:00am - 1:00pm)
This virtual event, hosted by the CSU Chancellor's Office, will showcase CSU Health Benefits Vendors. UP Benefits Services Representatives will also be available for consultation and to answer questions. You’ll find everything you need on the
CSYou website, including updated benefit rates and provider information.
REGISTER NOW for the virtual fair on September 28. On event day you will be able to connect with health benefit providers and find videos and other wellness resources.
You MUST be registered to attend the virtual fair.

Employee Services Fair - Wednesday & Thursday, October 20-21 (10:00am - 1:00pm)
This virtual event is hosted by University Personnel and will showcase non-health vendors such as credit unions, gyms, dental offices, and more. In addition, SJSU departments and organizations have been invited to participate. If your department is interested in participating, please contact Elizabeth Escobar at

I’m a new employee - when do I get paid?
Regular employees are paid on or around the first working day of the pay period and hourly employees are paid on the 15th of the month. However, there is an exception for new academic-year (AY) faculty.
New 12-month faculty, whether tenure-track or temporary, as well as new tenure-track AY faculty who participated in the Jump Start program, will get paid at the beginning of the September pay period (September 1, 2021) like all regular employees. New tenure-track AY faculty who did not participate in Jump Start, as well as new temporary AY lecturers, librarians, or counselors, will receive their first paycheck on October 1, 2021.
All payroll calendars, as well as other academic calendars, can be found on the
Calendars webpage on the UP website (under the Resources menu).

Paychecks and W-2s Online!
Get copies of your paychecks and other earnings statements, as well as copies of your W-2s online via
Cal Employee Connect. Visit the
Cal Employee Connect webpage for more information, including a
User Guide on how to get your account set up.
You can also find a tile for Cal Employee Connect on
one.SJSU - enter “cal” in the search box then make it a favorite.
You will need the following information to set up your account:
- Recent Paycheck/Paystub
- Your Department Name
- SJSU’s Agency Code - 260
Contact your
Payroll Representative if you don’t have a recent paycheck or stub or if you need additional assistance.

As previously announced, SJSU @ Work is transitioning to CHRS, the CSU’s Common Human Resources System. This transition is scheduled for July 2022 but the work to get us there has already begun.
This change will impact everything you currently do in the SJSU @ Work system, including, but not limited to, the following functions:
- All Employees
- Benefits Enrollment & Maintenance
- Personal Data Updates (e.g. preferred name, address, etc.)
- Time & Absence Entry and Approval
- Department Processes
- POI Creation & Maintenance
- Reports and Queries
- Viewing Data for Employees (e.g. job, position, etc.)
- Academic Departments
- Temporary Academic Employment Processes (e.g. contracts, additional employment, etc.
New functionality includes:
- A newly designed Temporary Academic Employment module for all lecturers, non-MPP coaches, academic student employees, and additional employment; workflow and online approvals are built in to create a more effective and efficient process
- A new external reporting system that will replace the custom reports you currently run such as LCD reports, active position lists, etc.; it will also replace some of the public queries that currently exist in SJSU @ Work
- A new Transactional Front End workflow module that will take the place of current forms such as the Employee Profile and the Appointment Form
