Happy New Year, Spartans!

In some ways it feels like it’s still 2020 and in others it feels like 2022 has already been here for several months. Many of us continue to face changes in our work and home life, and I am constantly reminded how agile our employees are. I know the continuous adapting and pivoting can be frustrating and tiring and I appreciate how hard everyone is working to ensure our students, faculty and staff have the tools they need to be successful.

As most of you are aware, the Chancellor’s Office announced a new requirement for faculty, staff and students regarding vaccination and booster shots. Non-represented employees, volunteers, auxiliary employees and all Unit 3 (faculty) employees are required to have their booster shot by February 28, 2022. Deadlines for other represented employees will be announced soon. If you have already received your booster shot make sure you update your Vaccine Attestation Record in SJSU @ Work with the date of the booster and your updated vaccination record. Details on how to do this can be found in the user guide.

We recently announced that testing is available for all vaccinated employees, volunteers and auxiliary employees who are accessing campus. At this time, we anticipate that this testing will be available through at least the end of February. Appointments are required. Please note, if you tested positive for COVID-19 within the last 90 days, you should not participate in this testing. A positive result will show up for 90 days after the first test.

Flexible Spending Account (FSA) Grace Period

The CSU provides a 2 1/2 month grace period for employees enrolled in a Healthcare Reimbursement Account (HCRA) through December 31st. If you were enrolled through December 31, 2021 and had a balance on December 31, the grace period allows you to be reimbursed for eligible expenses incurred through March 15, 2022. FSA Debit Cardholders will have access to the prior year's balance through the grace period.

You must submit claims no later than June 30, 2022 for expenses incurred in 2021. After this date, any funds remaining in your account will be forfeited.

When was my Form W-2 mailed?
Forms were mailed by the State Controller's Office and should have arrived by January 31, 2022.

I didn't receive my Form W-2, what should I do?
If you have not yet received your Form W-2, please visit Cal Employee Connect where you can view and download an online version of the form. Form W-2s that are undeliverable by the post office will be returned to University Personnel.

#CHRSisHappening

Yes, CHRS is definitely happening. SJSU continues to move forward with our implementation of CHRS, the CSU’s Common Human Resources System (built in PeopleSoft) that will replace SJSU @ Work. As announced last month, the timeline for the implementation of this new system has been moved to December of this year. This change gives us more time to learn the system, test the functionality, and provide the most effective support to our employees.

Explore the CHRS Library
One way to learn more about CHRS is to visit the CHRS Library. Take special note of the CHRS Training section, as there are many Job Aids and Videos posted; more will be posted in the next few months. These were developed by the Chancellor's Office and are a great way to start understanding the system. Please note, there are some areas of the CHRS Library that require additional access, but you should be able to get to the Training section once logged in with your SJSUOne ID and password.

Campus Overviews and Training are Coming
Later this year we will announce campus overviews of the various processes in CHRS, such as Employee and Manager Self Service, Temporary Academic Employment, and more. These will be open to all employees and will be recorded and posted for review at later times. We plan to utilize the training tools the Chancellor's Office has provided to bring our employees up to speed, and we plan to have regular open labs to assist anyone who needs help with the system.
