Senior Associate Vice President, University Personnel
Fall semester is underway, and the campus is once again filled with life as our students and faculty have returned. While some quiet time over the summer is nice I am always re-energized this time of year.

University Personnel welcomed a number of new employees in the last few months, most notably a trio of Faculty Services Representatives to support faculty appointment processes among other things. Learn more about this team later in the newsletter, as well as other staffing updates in the department.

We recently redesigned our website and I believe it offers a much easier way to find information about our teams as well as other resources on campus. I’d like to highlight a few of these items in case you haven’t had time to explore yourself.

Finally, I invite you to Save the Date for our Fall Town Hall on Tuesday, October 4 from 10:00 a.m. - 11:00 a.m. More information coming soon.

I’m a New Employee: When Do I Get Paid?

Regular employees are always paid on the first working day of the pay period and hourly employees are paid on the 15th of the month. However, there is an exception for new faculty.

  • New tenure-track faculty who participated in the Jump Start program will get paid at the beginning of September like all regular employees.
  • New tenure-track faculty who did not participate in Jump Start, as well as new temporary lecturers, librarians, counselors and coaches, will receive their first paycheck on October 1, 2022.

All payroll calendars, as well as other academic calendars, can be found on the Calendars webpage on the UP website (under the Tools & Resources menu).

If you have additional questions about when you get paid, please contact your Payroll Representative.

Paychecks and W-2s Online!

Get copies of your paychecks and other earnings statements, as well as copies of your W-2s online via Cal Employee Connect. Visit the Cal Employee Connect webpage for more information, including a User Guide on how to get your account set up.

You can also find a tile for Cal Employee Connect on one.SJSU - enter “cal” in the search box then make it a favorite.

You will need the following information to set up your account:

  • Recent Paycheck/Paystub
  • Your Department Name
  • SJSU’s Agency Code - 260

Contact your Payroll Representative if you don’t have a recent paycheck or stub or if you need additional assistance.

SJSU Housing Demand Survey

The future of our university’s vitality is tied to our long-term ability to address our faculty and staff's housing needs and attract and retain talent in a competitive jobs and housing market. As the university is working on a housing project one-block away from campus to house faculty and staff, the Alquist Redevelopment, all faculty and staff are invited to contribute input to a survey that will ask about current housing needs and future housing expectations. Employee responses will directly shape how SJSU accommodates Spartans for years to come.

Please complete the survey by Sunday, September 11, 2022.

Public Service Loan Forgiveness (PSLF)

The PSLF Program forgives the remaining balance on your Direct Loans after you have made 120 qualifying monthly payments under a qualifying repayment plan while working full-time for a qualifying employer. Under this program, CSU employees may qualify for forgiveness of the remaining balance due to their Direct Loan Program loans if they meet the criteria of the program. The deadline to apply for this program is October 31, 2022 so if you meet the criteria, don’t delay!

Employee Benefits and Services Fair

The Employee Benefits and Services Fair will be held in-person on Thursday, September 29 from 10:00 a.m. - 2:00 p.m. in the Student Union Ballroom.
Benefits providers, CalPERS, SJSU Benefits Representatives and numerous other vendors will be in attendance.

If you choose not to attend in person, the CSU Chancellor's Office will host a virtual fair with the CSU Health Benefits Vendors on Wednesday, September 28 from 10:00 a.m. - 1:00 p.m. You’ll find everything you need on the website, including updated benefit rates and provider information.

Benefits Open Enrollment (OE) begins Monday, September 19, 2022, and ends at 11:59 p.m. on Friday, October 14, 2022. Once the OE period opens, changes can be made easily by searching for and clicking the OE tile on one.SJSU. All changes made during Open Enrollment are effective January 1, 2023. Additional information can be found in the article below.

Reminder: If you do not make changes by the deadline, all current selections will remain in place for 2023. The only exception is flexible spending accounts. To continue those contributions you must re-enroll during this period. The Fair is a great time to talk with providers and your Benefits Representative about possible changes to your enrollment.

It is REQUIRED that you bring your Tower ID Card for entry into the event and the chance to win a prize.

This event is wheelchair accessible. Masks are not required but strongly encouraged. Individuals needing accommodations should contact Tamela Sullivan (408) 924-2411 or Elizabeth Escobar (408) 924-6891 as early as possible.

We realize changes to health plans and their rates may impact your Open Enrollment decisions so we have summarized them below for your convenience.

Log in to myCalPERS to view customized health benefit information. Use the Search Health Plans tool to find health plans available in your area and whether your doctor accepts those plans.

Basic Plans
  • Health Maintenance Organization (HMO)
  • Exclusive Provider Organization (EPO)
  • Preferred Provider Organization (PPO)
Plan Name Changes for 2023
Blue Shield Access+ EPO Expansion into 11 counties: Alpine, Calaveras, Inyo, Lake, Modoc, Mono, Plumas, Siskiyou, Tehama, Trinity, and Tuolumne
Blue Shield Trio Expansion into seven counties: Butte*, Kern, Kings, Monterey, Riverside, San Bernardino, and Tulare, and a new pharmacy shared patient savings program featuring one month of plan savings for using a clinically equivalent, lower-cost drug alternative

* Pending Department of Managed Health Care approval
Reproductive Health Equity Language Change New benefit language providing all persons access to reproductive health benefits regardless of sex, sexual orientation, or gender identity
Fertility Care Language Change New benefit language updating the definition of infertility to provide access to infertility treatment to members regardless of age, sexual orientation, gender identity, or marital status
Hearing Aids Benefit Adjustment New benefit for members under the age of 26 providing medically necessary and clinically appropriate hearing aids in both ears at 100% coverage every 36 months
Match PPO Members with Primary Care Providers New match to a Primary Care Provider (PCP) for PPO members; members would be free to choose a different PCP and it would not change the ability to see a specialist anytime
LIVE Open Enrollment Benefits Webinar Series

Beginning now through October 11, the Chancellor’s Office will be highlighting benefits that limit enrollment, changes or cancellations during Open Enrollment. They will be highlighting Dental, Vision, Health Care and Dependent Care Reimbursement Accounts and more.

All CSU employees are welcome to attend this live webinar series and there is no registration required. All sessions will be closed captioned and recorded for future viewing. Click here to go to the page where recordings will be posted one week after the presentation occurs.

Year-End Recruiting and Position Management Deadlines

Even though the end of the year seems far away it will be here before we know it. Please take note of these recruiting and retention year-end deadlines and plan accordingly.

November 18/Recruiting: 
Last day to submit a response to an “Approval to Extend a Conditional Offer” email for the final employee start date of December 5, 2022. All complete responses must be received by 8:00 a.m. on this day. Incomplete responses may delay the employee’s start date.

December 5/New Hires: Last new employee start date for 2022. This includes emergency hires, casual workers, and regular or temporary employees.

December 5/Position Management: Last day to submit funding, department and approval structure position management changes for December payroll. Changes received after this date will be processed in January 2023.

December 5/Recruiting: Last date to submit a response to an “Approval to Extend a Conditional Offer” email for employees with a start date of January 9, 2023, in order for the offer letter to be sent before the holiday break. All complete responses must be received by 8:00 a.m. on this day. For employee start dates after January 9, the offer letter will be sent to the candidate when operations resume in January 2023. Incomplete responses may delay the employee’s start date.

December 12/Recruiting: Last day a fully-approved Job Card in PageUp (CHRS Recruiting), including a fully-signed Position Description, can be received in order for the job to be posted by December 16, 2022. Job approvals received after this date will be posted in January 2023. As a reminder, a vacancy will not be posted without a signed Position Description.

January 9, 2023/New Hires: First new employee start date (includes emergency hires, casual workers, and regular or temporary employees) for 2023.

As we begin a new academic year, we welcome our new Faculty Employment Specialists: Marina Corrales, Alec Giurlani, and Tracy Vuong. They will assist with and track faculty recruitment and appointments, collaborate with cross-functional departments, and ensure compliance with policies and guidelines related to part-time faculty employment.

In collaboration with colleges and departments, the Faculty Employment Specialists will begin assisting with Fall 2022 appointments, and in time will assume greater responsibility for the operational components of faculty searches--taking some burdens off hiring departments.

Some duties of the FES team will be:
  • Establishing job cards for searches
  • Consulting with departments on advertising
  • Checking all required documents for new hires and communicating with the departments where issues exist
  • Communicating with hiring departments at all steps of the hiring process
  • Providing maintenance support for Applicant Pools
Faculty Employment Specialists are expected to be a valuable resource in UP’s efforts to support departments and colleges with faculty recruitments and appointments at SJSU.

This year's Homecoming theme is Reign of Blue & Gold. Homecoming brings together current students, faculty, and staff and welcomes alumni back to campus in celebration of Spartan Pride at San José State University. Homecoming is an annual tradition encompassing a week of fun-filled events all aimed at showcasing school spirit.

In addition to student-focused events, there will be activities for faculty and staff. Join us Monday, October 24 through Friday, October 28 to celebrate and get ready for the homecoming football game on Saturday, October 29. The Spartans will face off against Nevada at 7:30 p.m. in CEFCU Stadium.

Faculty and Staff: remember to show your Tower ID Card at the gate, so you and 3 others can watch the game for FREE!
