People Soft -CMS Technical Support ModelThis document addresses the technical support model employed by
the CMS PeopleSoft project at San Jose State University. You will
find answers to some of the frequently asked questions regarding
access to PeopleSoft and the level of desktop support you can
expect.
Generally, each University Division provides its own desktop
support. The Administrative Technology Department provides direct
desktop support for all Administration and Finance Division
employees. It further provides training to all other University
Division technical support personnel as it relates to the CMS
Project. If you do not know who your technical support is, contact
the CMS Help Desk at 924-1530 or via email at cmshelp@sjsu.edu.
Below are some of the frequently asked questions:
PeopleSoft Finance
1) How do I get access to the CMS Web system to enter
requisitions, direct payments, hospitality payments, budget
transfers and expense transfers.
Complete an access request form (available on the CMS Web site
http://www.sjsu.edu/depts/CMS). Prior to receiving access you will
need to complete the appropriate CMS training class. Class lists
and registration are available by navigating to the Training and
Help Desk link on the CMS site. You must use Internet Explorer 5.x
or higher to use this system. This system is not fully compatible
with Netscape. If you are running an earlier version of Internet
Explorer ask your desktop support staff to upgrade your version of
Internet Explorer.
2) How do I get the drives mapped and the proper software
configuration to allow me to connect to PeopleSoft Finance
Production or Finance Reporting instance?
Contact your desktop support staff and request that they map you
to the CMS fileshares and create icons on your desktop to allow you
to connect to PeopleSoft. If you are on a Macintosh, you will need
to ask your desktop support staff to install the Citrix client on
your Mac to enable you to connect to PeopleSoft Financials.
3) How do I get access to the Financial Data Warehouse so I can
run reports to see my account balances and other financial
information?
Contact your desktop support staff and request that they install
the Discoverer software on your PC. If you are on a Mac, you will
need to use the web to connect to the warehouse at
http://report.sjsu.edu. Your Mac will require at least 128 MB of
RAM. You will also need to complete an access request form
(http://www.sjsu.edu/depts/CMS) to request an ID and password to
access the warehouse (if you have access to the web finance
component, you will automatically have access to the
warehouse).
4) What is the procedure to follow if my desktop support staff
does not know how to perform the CMS tasks?
Have your desktop support staff contact the CMS Help Desk at
924-1530 and request one-on-one training on the installation pieces
required to support CMS.
5) Who do I contact if I have functional questions about how
PeopleSoft works, or where I can find the data I am seeking?

PeopleSoft Human Resources/Student
Administration
1) How do I get access to either PeopleSoft HR or PeopleSoft SA
(or both)?
Navigate to the CMS Website at http://www.sjsu.edu/depts/CMS and
click on the Training and Help Desk link to register for a class.
Upon completion of the appropriate training class(es) you can be
granted access to various modules within the database. You must
complete an access request form (http://www.sjsu.edu/depts/CMS) to
request an ID and password.
2) What do I require on my Mac or PC to connect to PeopleSoft
HRSA, and what installation is required?
To use PeopleSoft HRSA you need to have an Internet connected
computer. Internet Explorer 5.5 or better is strongly recommended
for accessing this application. It is fully web-based so you do not
require any mapped drives or client software installation, unless
you are generating temporary faculty contracts. If you need
assistance with contract generation contact the CMS Help Desk at
924-1530 or via email at cmshelp@sjsu.edu. Your desktop support
staff can also be trained on how to setup the shortcuts for
contract generation. Please have them contact the CMS Help Desk to
arrange one-on-one training.
3) Where do I find information on students?
For Spring 2003 and prior, the information resides in SIS. To
receive access to SIS, contact Virginia Barrios Bearden at
extension 924-2310. For Fall 2003 and beyond, student information
will be housed in PeopleSoft. Currently, Fall 2003 Admissions is
live in PeopleSoft. To find out more about receiving access and
attending training classes, check the CMS Website at
http://www.sjsu.edu/depts/CMS.
