PeopleSoft HR (SJSU@Work) Access

To better assist employees with their requests for PeopleSoft HR (SJSU@Work) access, and to understand what training is required, please use the following information as a guide. The role name is listed first with the PeopleSoft role name in parenthesis). Either check the box on the security access request form or identify the role name in the other access section.

No Training Required:

  • Absence Reviewer (SJ_HR_ABSENCE_REVIEWER): This role grants an individual access to review absences entered by employees in the departments the employee has access to.
  • Absence Timekeeper (SJ_HR_ABSENCE_TIMEKEEPER): This role grants an individual access to enter absences on behalf of other employees in the departments the employee has access to.
  • CSU ID Search (SJ_HR_CSU_ID_SEARCH): This role grants an individual access to use the CSU ID Search functionality to look for someone in the system. It does not grant access to the person data pages linked from the CSU ID Search results page.
  • Department User (SJ_HR_DEPARTMENT_USER): This role grants access to view person, job, salary, and position data for all employees (past and current) in the departments the employee has access to. In addition, it grants access to run custom reports such as the Employee Profile, Active Position List, and LCD Reports. This role also contains functionality for CSU ID Search.
  • Run LCD Reports (SJ_HR_LCD_SJ_REPORTS): This role grants access to run only the LCD reports for the departments an employee has access to.
  • Time Approver for Student and Hourly Time (SJ_HR_TIME_APPROVER / SJ_HR_TIME_APPROVER_HOURLY): This role grants access to approve hourly time entered by students or hourly employees for the departments the employees has access to.

 

Training Required (note: not all access is available for all employees):

  • Edit and Approve Time (SJ_HR_TIME_EDITOR_AND_APPROVER): HR9017 (Edit Self Service Time Entry) must be completed before this access can be granted. This role grants access to edit time entered by an hourly employee and run processes to prepare the time for approval and payment.
  • Faculty Contract Processing (SJ_HR_FACULTY_PROCESSING): HR9002 (Academic HR Processing) must be completed before this access can be granted.
    • Monthly sessions of this course are scheduled but you may contact the HRIS team if you are unable to attend. This role grants access to create POIs for new temporary faculty and additionally grants access to create contracts for those lecturers, TAs and GAs.
  • POI Maintenance for Auxiliary Staff (SJ_HR_AUXILIARY-STAFF): HR9020 (POI Data Maintenance) must be completed before this access can be granted. This role grants access to employees of campus auxiliaries to create and maintain POI (person of interest) data for the departments an employee has access to.
  • Request to Recruit (SJ_HR_SJ_REQUEST): RW003 (Dept Recruiting Processes) must be completed before this access can be granted. This role grants access to enter a request to recruit for the departments an employee has access to. This is NOT required to approve requests to recruit.
  • Review Completed Training Courses (SJ_HR_TRAINING_REVIEWER): There is not a specific course for this access. This role grants access to review training completed by employees. This is not department-specific and access to this role is limited.
  • Training Session Completion (SJ_HR_TRAINER): There is not a specific course for this access. This role grants access to update the status of a training session and is typically granted to those conducting the training. This is not department-specific and access to this role is limited.
  • Training Course Management (SJ_HR_TRAINER_ADMIN): TRN001 must be completed before this access can be granted. This role grants access to set up employee training courses and sessions and also gives the employee access to update the status of those enrolled in the sessions.

 

The following access is granted automatically based on various conditions in the system:
